London was not built for hot weather. Much of the city’s commercial building stock dates from a time when summers were milder, and many offices, shops and restaurants were never designed to cope with weeks of 30°C days. Yet heatwaves have become a regular feature of the British summer, and each one exposes the same weaknesses: overheated workspaces, struggling fridges, failed air conditioning and engineers booked solid for days.

The businesses that come through a heatwave without disruption are usually the ones that prepared in advance. These eleven tips will help you get ready before the next one arrives.

    1. Book Air Conditioning Servicing in Spring

Every spring, a small number of businesses book their AC service early. Every summer, a much larger number call in a panic when the system fails on the first hot day. Servicing in March, April or May means clean filters, checked refrigerant levels and worn parts replaced before the system is put under heavy load. It also means you are not competing with half of London for an engineer.

    2. Assess Whether Your Cooling Is Adequate

If your premises overheated last summer, the system may simply be too small, poorly positioned or out of date. Changes in how a space is used, such as more staff, more computers or new kitchen equipment, can push heat loads beyond what the original installation was designed for. A professional survey will show whether you need a repair, an upgrade or an additional unit. Be Cool provides air conditioning services across London for offices, restaurants, shops, server rooms and homes, starting with a free site survey.

    3. Check Your Commercial Refrigeration

Fridges, freezers and cold rooms work much harder in hot weather because they have to reject heat into a warmer environment. A unit that copes in April may fail in July. Before summer, clean condenser coils, check door seals and look out for warning signs such as temperature creep, frost build-up or constant compressor running.

    4. Know Who to Call When Refrigeration Fails

During a heatwave, the consequences of a fridge failure are worse and the wait for an engineer is longer. Have the number of a trusted refrigeration company saved before you need it, and check that they offer genuine emergency cover. Be Cool’s commercial fridge repair service runs 24/7 across London, covering fridges, freezers, cold rooms, display cabinets and bottle coolers from all major brands.

    5. Clear the Space Around Outdoor Units

Outdoor condensing units need free airflow to release heat. Over the year, they often get surrounded by bins, pallets, plants or stored equipment. Clear at least the manufacturer’s recommended space around each unit, and check that nothing has been stacked on top of them.

    6. Reduce Heat Gain From Windows

Solar gain through glass is one of the biggest sources of heat in offices and shops. Blinds, external shading and solar control film can make a noticeable difference. Keep blinds closed on sun-facing windows during the hottest part of the day, especially in the afternoon on west-facing elevations.

    7. Switch Off What You Do Not Need

Computers, monitors, printers, lighting and kitchen equipment all produce heat. Turning off equipment that is not in use reduces the load on your air conditioning and saves electricity. In kitchens, avoid running ovens and hobs on standby when they are not needed.

    8. Protect Server and Comms Rooms

IT equipment produces heat all year round and does not tolerate high temperatures well. In a heatwave, a server room cooled only by the general office system can overheat quickly, particularly if the office AC is switched off at night. Dedicated precision cooling with temperature monitoring and high-temperature alarms protects critical equipment, and redundancy options mean one failed unit does not take the whole system down.

    9. Review Your Food Safety Procedures

For food businesses, increase the frequency of temperature checks during hot weather. Use calibrated probe thermometers, record readings, and set clear steps for what staff should do if a unit goes out of range. That includes moving high-risk stock to another unit and keeping the doors of a failing fridge closed, which helps it hold temperature until an engineer arrives.

    10. Look After Your Staff

There is no legal maximum working temperature in UK workplaces, but employers must keep indoor temperatures reasonable. Provide drinking water, allow extra breaks, relax dress codes where possible and consider adjusting shift times to avoid the hottest hours. Comfortable staff are more productive and less likely to make mistakes.

    11. Put a Maintenance Plan in Place

A planned maintenance contract takes the guesswork out of heatwave preparation. Scheduled servicing for both air conditioning and refrigeration catches problems early, and priority emergency cover means you move up the queue when something does break. For businesses with several systems on site, using one contractor for everything simplifies scheduling and record-keeping.

    Why Preparation Pays Off

The cost of a spring service is small compared with the cost of a summer breakdown. A failed cold room can lose thousands of pounds of stock in hours. An office without working AC can lose a day of productivity. A restaurant with an overheated kitchen may have to cut its menu or close early. Preparing ahead protects your revenue as well as your equipment.

Be Cool Refrigeration has helped London businesses stay cool since 2004, with more than 2,000 projects completed for clients including restaurants, gyms, retailers and large venues. Its F-Gas certified engineers install, repair and maintain air conditioning and commercial refrigeration across London and the surrounding counties, with transparent pricing and emergency support around the clock.

    Final Thoughts

Heatwaves are now part of the London calendar, and they reward businesses that plan ahead. Service your systems early, check your refrigeration, protect sensitive spaces and have an engineer you trust on speed dial. When the temperature climbs, you will be ready.
